Video Conferencing Do’s and Don’ts Everyone Should Remember

Many industries today have quickly gotten wind of video conferencing as a business standard. The latest technologies have made things easier as you can now connect with clients, employees and partners all over the world. It is important for every business to train their employees in the most effective way to ensure successful video conferences, especially as these are now widely used in every nook and corner of the planet.
Dos
  • Mute your microphone if you are not talking even when you are alone inside the room. Any background noise may become an annoying distraction and stifle the flow of a meeting.
  • While talking, don’t look at yourself on the computer screen and look into the camera instead. This will help your audience to feel like you are 100% present and engaged.
  • See to it that your room is properly lit, with side lighting being your best choice. Nothing is worse than a professional meeting where the other person seems to call straight from a dungeon. Let natural light flow in to your windows or turn on an overhead light.
  • Know the settings of your video. Check if the microphone is muted before you deliver a 2-minute dialogue only you can hear.
  • Wear the right clothes. If you are working from home, it can be too tempting to wear an athletic shorts and a work shirt but make sure you dress as if you will conduct a face to face meeting. You never know if you need to get up all of a sudden or your camera falls accidentally. Stay on the safe side by wearing clean and professional clothing during your video conferences.
  • Your decorations or wall art must all be work appropriate. Keep your surroundings clean, too. If you resembles a college dorm room hit by a hurricane, clean it or look for another room. Your desk also requires cleaning. Remove those dishes, coffee mugs and trash on top of it.
  • Test the microphone prior to the video conference, especially if it is a very important meeting. You can test this by video conferencing your coworkers before the meeting. There is nothing worse than trying to share a vital information only to fail to communicate it clearly because of a poor audio volume and clarity.
Don’ts
  • Don’t read or check your emails or read articles during your video conference. It also includes doing any other work aside from the video call itself. It is easy for the rest of the participants to tell if you are not totally present and focused during the video conference.
  • Don’t put your camera too high, too low or hooked to a different monitor. A camera placed in weird camera can be very unflattering and distracting during a video conference call. See to it that your camera is placed on an eye level on the monitor you will be using during the conference.
It is imperative to remember that a video conference is essentially an in-person interaction which gives businesses a chance to communicate effectively.
